Junior Clerk Job Interview: Questions with Model Answers
Practise common interview questions for Junior Clerk and office-staff posts in government departments, with simple model answers, a computer-skills table and an interview-day checklist.
Many candidates who clear the written test for a clerk post lose marks in the interview because they have never practised speaking about the job. This guide gives common questions for Junior Clerk, Assistant and office-staff interviews in government departments, with simple model answers you can adapt in your own words.
Interview panels differ from department to department, and some clerical posts have only a written test and a typing or computer skill test. Always read the official advertisement to see whether an interview is part of the selection process.
What the panel wants to see
A selection committee usually checks four things:
- Basic knowledge of the department and the job
- Office skills such as typing, computer use, filing and Urdu/English drafting
- Honesty and discipline, since clerks handle records and public money
- Communication and attitude towards seniors and the public
Section 1: Personal questions
Q1. Please introduce yourself. Give your name, education, one or two strengths and why you applied. Keep it to 30-40 seconds.
Model answer: "My name is Ali Raza. I have completed my Intermediate and I am skilled in MS Word and Excel. I am hardworking and punctual, and I want to serve in a government office where I can use my skills honestly."
Q2. Why do you want this job? Talk about service, stability and using your skills. Do not talk only about salary.
Q3. What are your strengths and weaknesses? Give a real strength (punctuality, accuracy) and a weakness you are improving (for example, being too careful and slow at first, which you are fixing with practice).
Section 2: Job-related questions
Q4. What does a clerk do? Model answer: "A clerk maintains files and records, receives and dispatches letters, drafts simple correspondence, enters data on computer, and helps officers by keeping documents organised and ready on time."
Q5. How would you handle a file that an officer needs urgently but you cannot find? Stay calm, check the register or movement record, ask colleagues who handled it last, inform the officer honestly about the progress and never invent an excuse.
Q6. What is the difference between a draft, a note and a letter?
- A note is an internal comment on a file.
- A draft is a proposed reply sent for approval.
- A letter is the final communication sent outside the office.
Q7. Why is record keeping important? Records are proof of decisions, protect the department in legal matters and make future work faster.
Section 3: Computer and office skills
| Topic | What may be asked |
|---|---|
| MS Word | Formatting, page margins, saving a file, mail merge basics |
| MS Excel | Entering formulas, the SUM function, sorting data |
| Typing | Speed and accuracy in English or Urdu |
| To, CC, BCC, attachments | |
| Printing | Printing selected pages, scanning a document |
Tip: If you do not know an answer, say so politely. Wrong confident answers harm you more than an honest "I am not sure, but I will learn it quickly."
Section 4: Situation and integrity questions
Q8. A person offers you money to move his file ahead of others. What will you do? Model answer: "I will refuse politely and clearly. Files must be handled in order and on merit. If the pressure continues, I will inform my senior officer."
Q9. Your senior gives you an order that seems against the rules. What will you do? Respectfully point out the rule, ask for written instructions, and do not break the law. Show that you are polite but firm.
Q10. How do you deal with a rude visitor? Stay calm, listen, speak politely, explain the procedure and direct them to the right person.
